What happens to the data

On receipt.

The first thing that happens to your file is anonymisation, before anyone opens it and before any analysis: emails, phone numbers, card and account numbers, IBANs, wallet addresses, names, document numbers, dates of birth are removed; exact amounts become ranges; player and agent identifiers become hashes. The original file is deleted within 24 hours, and the deletion is logged.

What we work with.

Conversation structure — who wrote what, when, in what order — plus amount ranges and hashed references, so repeat contacts can be counted without knowing who anyone is. Stored on our infrastructure in the EU, deleted 7 days after your report is delivered.

If your policy requires anonymisation before sending.

Two options: our single-file script, which your admin runs on the export (it does not need to know your helpdesk's format and does not fail on unexpected columns), or a 15-minute call where we do it together on your screen.

Questions we get

We already run a bot. Is this still useful?

Yes, and arguably more so: the report shows what the bot resolves, what it hands off, and where it answers confidently and wrong.

How many chats do you need?

Anything from about a thousand gives a usable picture. 30 days is usually enough; 90 is better for seasonality.

I don't know how to export chats from our helpdesk.

There is a one-page guide for each of the main helpdesks — Zendesk, Intercom, LiveChat, Freshdesk — and if that doesn't cover you, we'll do it together on a short call. Nobody on your side needs to install or run anything.

Our compliance team won't let us send raw chats.

Then use the anonymiser script before sending, or we run it together on your screen. Either way, we can sign a DPA first.

Our support is outsourced. Can we still do this?

Yes — the export comes from the helpdesk, not from the BPO. The report is often the first time the operator sees what the contract actually covers.

What happens to the data?

It is anonymised on receipt, the original is deleted within 24 hours, the anonymised data is used for your report only, stored in the EU, and deleted seven days after delivery. Aggregated, non-identifying counts may be used for industry benchmarks only with your written agreement, which we will ask for separately.

What do you get out of this?

A conversation with an operator who has just seen their own numbers. If the report shows there is nothing to automate, we say so.
